Org. Setting and Reporting

The position is located in the Central Records Unit (CRU) of the Executive Office of the Secretary-General (EOSG). The incumbent reports to the Chief of the CRU.

The primary role of the Central Records Unit is to receive, register and efficiently process all correspondence addressed to EOSG stakeholders. The CRU acts as an official repository of EOSG records and performs retrieval functions. The Unit also undertakes variety of information management and business process improvement projects.

Responsibilities

Within delegated authority and under the direct supervision of the Chief of the Central Records Unit (CRU), the Information Management Assistant is expected to perform the following duties:

•Assists the Chief of CRU in the overall management and administration of the Unit, including provision of substantive and administrative support in managing priorities and workflows.

•Assists in overseeing work of office support staff (Records Assistants) and managing performance; organizes, plans, controls, coordinates and oversees the daily activities of the Records Assistants to ensure efficient and effective processing of EOSG correspondence and equitable distribution of work; trains office support staff in relevant procedures; monitors completion of work on daily basis; regularly reports on workload statistics; takes full responsibility for time management and scheduling on behalf of the Head of CRU with appropriate consultation.

•Assists in managing other activities and work processes to ensure that management directives
and decisions are properly carried out and services are delivered timely; identifies and brings sensitive and urgent issues to the attention of the Chief of CRU.

•Screens, prioritizes and distributes for logging all incoming correspondence, monitors and clears the SGCentral shared e-mail account; decides, according to existing procedures on the appropriate course of action for various messages, including logging for action, logging for information, forwarding to other offices, Departments, Funds and Programmes; performs database searches to retrieve correspondence; provides backup support to the Records Assistants in logging correspondence when and as needed; exercises quality control function for all correspondence logged by the CRU staff in the Unite Correspondence; receives, handles, processes and classifies sensitive information.

•Independently handles a wide range of complex information requests and inquiries (e.g. answer requests requiring file or other research); responds, or drafts responses, to a diverse range of correspondence and enquiries both within the EOSG and from outside, including from external entities and Member States; Coordinates extensively with service units and liaises frequently with colleagues from other EOSG Units and other Departments.

•Establishes/improves standard operating procedures on correspondence distribution, information management, use of information systems and maintenance of data in the EOSG to ensure smooth functioning of the Unite and the other document and information management (paper and electronic) systems.

•Liaises with the ICT Service Provider with regards to any technical IT-related issues, including databases and email systems performance issues.

•Manages, updates and further develops internal databases and spreadsheets; maintains the Unite Docs access and distribution groups in iNeed system to ensure data is up-to-date.

•Provides IT training to EOSG end-users, including on the use of standard databases and systems, including Unite Docs and Umoja.

•Provides Unite Docs/Correspondence troubleshooting services to EOSG end-users, including identification of problems and solutions and/or liaising with the OICT to ensure prompt resolution of the problem.

• Contributes to the preparation of data sets, being responsible for the acquisition and initial cleaning of data from primary and secondary data systems and documents data sets used.

• Contributes to the creation and maintenance of databases, contributes to data collection projects products, tools and processes to extend the capabilities of client offices.

•Oversees information management and business process analysis projects to enhance management and flow of EOSG's information and correspondence.

•Serves as Officer-in-Charge (OIC) in the absence of the Chief, CRU.

•Performs other related work as and when necessary.

Education

High school diploma or equivalent is required.

Work Experience

A minimum of seven years of relevant experience in information/records management/data entry and analysis such as working with file classification schemes, catalogue systems and large, complex databases is required.
Experience in preparation of and cleaning datasets, and preparation of analytical reports is required.
Experience working in a high-level office, such as EOSG or in a similar setting, in and international organization, managing information is required
Expert knowledge of O365 suite applications, including SharePoint Online and the FileNet-based applications is required.
Operational experience, including troubleshooting, with documents and information management systems like Unite Docs or Correspondence or similar systems is desirable.
Experience working in information management projects, including development and implementation of file classification schemes is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in spoken and written English is required. Knowledge of another official United Nations language is an asset.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

This position is temporarily available for an initial period of 365 days with possible extension. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

Org. Setting and Reporting
This temporary position is available effective as soon as possible for an initial period of six months, with the possibility of an extension. It is located in the Counter-Terrorism Committee Executive Directorate (CTED), set up to support the Security Council's Counter-Terrorism Committee. The incumbent reports to the Head of Administration, Administration & Information Office, CTED.
               
Responsibilities
Under the overall supervision of the Head of Administration, the incumbent would:
1.Research, analyse and evaluate new applications of information technology and data analytics relevant to the needs of the department and make recommendations for their deployment;
2.Implement and administer CTED online databases and portals for asset-freezing contact information, IT inventory management, office space and leave/travel management, etc.
3.Manage and maintain the UniteDocs electronic document and records management system;provide guidance and support for the use of UniteDocs and ensure electronic record keeping system standards and compliances are met; implement electronic document retention schedule and liaise with records-creating offices on the transfer and/or disposal of records;
4.Assist the Public Information Officer in maintaining and updating the content on the CTED
5.Administer the WordPress and Drupal websites and implement regular system and security updates;ensure that both restricted and non-restricted online information is appropriately arranged and secured;
6.Manage Office 365 applications, My teams, Share Point, One drive and Skype for business, provide necessary training sessions and consultations;
7.Share Point platform administration, managing and improving CETED’s intranet; creating and configuring new sites, document libraries, lists and forms;
8.Build data analytics models using the Power BI; organize and centralize data on different platforms; develop, schedule, publish reports and dashboards to meet business requirements;
9.Design or manage the production of promotional products such as posters, leaflets, reports,PowerPoint templates, etc. to support CTED public information effort.
10.Process incoming contact information obtained from staff travel to feed to the contactsdatabase which will be used to increase CTED outreach efforts using newsletters and other media.
11.Manage the design and issuance of CTED periodic newsletters through MailChimp.
12.Provide multimedia and teleconferencing support in CTED meetings as well as plenarymeetings and events in the UN conference building.
13.Manage the subscription of online article databases from Dag Hammarskjold library(UNSEIAC) or third-party providers.
14.Administer the information technology resources for users in the office and assist them introubleshooting and resolving office IT problems;
15.Manage the IT inventory and the issuance of IT equipment for travelling staff.
16.Draft and propose the annual IT and communications budget.

Responsibilities
Within delegated authority, the Information Management Officer will be responsible for the following duties:

•Provides advisory services on record-keeping practices include: needs and business process analysis; organization and maintenance of UN information assets; records preservation and disposition; and information management policies and procedures, with an emphasis on technological applications.
•Researches, analyses and evaluates new applications of information technology to archives and records management and makes recommendations for their deployment.
•Conducts the deployment of Unite Docs, the Enterprise Document and Records Management System, throughout UNOG departments and offices starting with the Division of Conference Management, in liaison with the DCM main Focal Point, the UNOG Information Communication and Technology Services (ICTS) and the Office of Information and Communications Technology (OICT/UNHQ)

Work Experience
A minimum of five years of progressively responsible experience in modern archives management, record keeping, library, information management or related area. Org. Setting and Reporting
This position is located in the Personnel Records Unit, Learning, Development and HR Services, Office of Human Resources Management. Information Management Assistant will report to senior Information Management Assistant.
              
Responsibilities
Within delegated authority, the Information Management Assistant will be responsible for the following duties:

Archives and Records Management
•Creates Official Status Files for newly appointed staff members;
•Provides standard and PRU-specific applications support and Unite Docs troubleshooting for Headquarters Deployment Group (HDG) staff.
•Conducts end-user training relating to requesting official status files through Unite Docs.
•Provides initial technical support and guidance to end-users and identifies areas where improvement or modifications are needed.
•Registers Section’s incoming and outgoing records in electronic record keeping system.
•Maintains Unit’s paper-based and electronic central file system by creating new folders, applying disposition instructions and tracking file circulation.
•Participates in records management projects in Secretariat offices, assembles records and creates electronic file lists in preparation for records transfer and arranges for their transportation
from UNHQ to Offices away from Headquarters.
•Carries out quality control functions for incoming and outgoing official status files and document to be filed.
•Assists with training of the temporary staff and covers supervisor’s duties in their absence.
•Assists in accessioning, disposition, description, and database updating activities as they relate to Section records-related projects.
•Performs clearinghouse functions such as records inventory/archiving projects and carries on various duties such as: performs researches in HR and unit’s databases to determine which files are to be archived, analyses retention schedules, assembles records, creates electronic files list, updates information in unit’s electronic record keeping system and coordinates transfers of records to ARMS.
•Supports disposition operations by liaising with records-originating offices on transfer procedures and documentation;
•Creates and maintains manual accession records and provides information to other Section staff in support of reference and archival arrangement and description activities.
•Oversees internal records retrieval, loan, reproduction and staff clearance operations.
•Supports external reference services by drafting routine responses to inquiries, including records reproduction transmittals, for approval of HR Officer.
•Participates in maintaining the Unit’s reference database.
•Participates in discussions and meetings on creation of digital records, reorganization of Unit’s work processes, files management and record keeping.

Documents
Liaises with document processing services with respect to preparation, reproduction and distribution of documents and publications.
Orders and follows-up on shipment of documents, reference materials, stationery and necessary equipment to various sites.
Provides document delivery services as required.

General
Conducts research as requested by more senior staff using Umoja and Unite Docs.
Provides relevant technical support to users of information services.
Provides administrative support for the Unit and undertakes other duties as assigned.
