Org. Setting and Reporting

This position is located in the Library of the United Nations Office at Geneva (UNOG), The incumbent will work under the direct supervision of the Chief, Institutional Memory Section.

Responsibilities

Within delegated authority, the incumbent will undertake the following duties:

1) Manages communications and the creation of substantive content relating to the Total Digital Access to the League of Nations Archives project (LONTAD), the history of multilateralism in Geneva, and the history of the League of Nations, including:
•Web content and resources for researchers and the general public
•Preparation of physical and virtual exhibitions
•Preparation of substantive social media content.

2) Advises management on the design, use, and further development of digital products and content created during the LONTAD project and articulates strategies for the "Library&Archives" strategic plan 2021-2023 related to research on the history of multilateralism and the role of the "Library&Archives" in the support of digital humanities research.

3) Identifies and develops relations with key partners to further the objectives of LONTAD and the "Library&Archives", and advises management on partnerships and their focus, including academia, UN partners, and other relevant institutions, with a strong focus on the digital humanities.

4) Supports management with the design of the second phase of the LONTAD project, within the knowledge systems framework for integrated services to be offered by the Library Services Section and the Institutional Memory Section of the United Nations Library&Archives Geneva, including the identification of potential funding sources and the development of grant proposals and applications.

5) Undertakes other duties as may be required

Education

Advanced university degree (Master’s or equivalent) in information management, library science, social sciences, history or related field. A first-level university degree in combination with two additional years of qualifying work experience may be accepted in lieu of an advanced university degree.

Work Experience

A minimum of five (5) years of experience in information management, historical research and/or teaching, communication, or related area is required.
Experience in publishing academic articles/book is required.
A minimum of one (1) year of relevant experience in an international organization is desirable.
Experience in creating communications content is desirable.
Experience in building partnerships with academia and/or cultural institutions is desirable.
Experience in the history of international relations within an academic context is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in both English and French is required. Knowledge of another United Nations official language is desirable.

Assessment

Org. Setting and Reporting
The position is located in the UN Geneva Library. The Library is an ensemble of the Library Services Section, the Institutional Memory Section, and the Knowledge and Learning Commons. The incumbent will report to the Chief Librarian.
               
Responsibilities
Within delegated authority, the incumbent will be responsible for the following duties:

- Provides strategic direction, coordination, management, supervision and resource allocation for the Section’s operations. Determines priorities, establishes policies, procedures and meaningful performance measures to monitor the impact and relevance of library operations and knowledge and learning activities. Promotes continuous improvement.
- Identifies, builds and maintains strategic partnerships and promotes collaboration with information/knowledge throughout the UN Secretariat, broader UN system and information providers worldwide to increase relevance, impact, visibility and access to the Organization’s information/knowledge base. Co-ordinates participation in cross-cutting activities on information/knowledge management. Seeks synergy within the service and with UN libraries in joint utilization of the resources available. Maintains liaison with other national and international organizations. Participates in cooperative ventures and keeps abreast of developments in knowledge-based information services, techniques and technologies. Liaises with UN departments and agencies, NGOs, Member States, the host city and country, academia and the media, in the furtherance of the work of the Section. Participates in inter-agency meetings and/or prepare policy papers for such meetings.
- Oversees the programmatic and administrative tasks necessary for the provision of library and outreach operations, including preparation of budgets, reporting on budget/programme performance, recruitment, evaluation and development of staff in order to meet programme objectives in the most efficient and cost-effective way. Provides guidance on content and presentation of guided tours, operation of group programmes and on preparation, content and production of information, current awareness and capacity-building products, including responses to enquiries, background papers, audio and visual materials, social media and the internet and intranet presence. Provides guidance on collection development, maintenance and preservation, including resource description and access. Designs, conducts and evaluates programs of outreach and learning, including library events and Knowledge and Learning Commons activities, and oversees their logistical organization.
- Represents or ensures representation of the service in meetings on information/knowledge management matters, participates in inter-agency meetings and/or prepares policy papers for such meetings. Represents the Chief Librarian and Chairman, Cultural Activities Committee in cultural and other activities and events as and when required.
- Acts as executive officer for the Library, including the planning and management of financial, procurement and human resources activities.

Org. Setting and Reporting
This position is located in the Institutional Memory Section, Records Management Unit, Library, UNOG, Geneva.
               
Responsibilities
Under the supervision of Chief, Records Management Unit, the incumbent will be responsible for the following duties:

1. Assists with records centre operations:

- Assists with the processing of accessions.
- Assists with updating accession and space management databases.
- Assists with space management and space allocation.
- Assists with responding to emergency disasters.
- Assists with monitoring if environmental quality controls and assists in the resolution of problems.

2. Assists with records transfer and accessioning operations:

- Assists in facilitating the physical transfer of scheduled records to RMU.
- Ensures accuracy of transfer documentation and accuracy of records to be transferred.
- Provides assistance to transferring offices throughout the transfer process.

3. Assists with reference operations and assists the focal point for requests for access to records:

- Assists the RMU focal point with requests for access to transferred records.
- Facilitates physical access, according to approved mechanisms, to transferred records.

4. General:

- Provides assistance to UNOG Museum in setting up and taking down of archival exhibitions.
- Provides administrative support for section and unit chiefs and undertakes other duties as assigned.

5. Assists with records disposals that have met their retention:

- Assists in liaising with relevant Secretariat staff and paper recycling companies to facilitate disposal for physical records.
- Assists with preparing records for physical destruction.
- Assists with overseeing the physical destruction of records that have met their retention.
- Assists with updating the RMU accession database.

6. Assists with the acquisition and management of archival boxes:

- Assists with the dissemination and stock management of archival boxes.

Responsibilities
Within delegated authority, the Associate Information Management Officer will be responsible for the following duties:

• Contributes to records accession and disposition functions, including records appraisal, by liasing with records-creating offices on the transfer and/or disposal of records and analysing and evaluating records for evidential and informational value in support of records appraisal.
•Supervises and undertakes archival processing activities by producing descriptive inventories; prepares mark-up of inventories for electronic dissemination; and monitors adherence to description, database and preservation standards;
•Performs and supervises research functions for the purposes of planning the League of Nations centenary, as well as reference functions by advising internal and external users on holdings and accessibility and assisting in the administration of access and declassification activities.
•Provides assistance with public outreach efforts, including the management of the United Nations Geneva Museum and the organization of temporary exhibitions, with particular focus on planning and executing the Museum exhibition “100 Years of Multilateral Diplomacy in Geneva” as the highlight event of UNOG celebrations of the League of Nations Centenary
• Collaborates with Professional and General Service staff and interns relating to functions cited above.

Work Experience
At least two years experience in modern archives management, research, record keeping, library, museums, information management or related area is required. Experience in preparing materials for exhibitions is desirable. Experience in researching the history of the League of Nations and United Nations is desirable.
               
Languages
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English and French is required. Knowledge of another UN official language is an advantage.

Responsibilities
Under the supervision of the Chief, Records Management Unit (RMU) and within delegated authority, the Archives Assistant will be responsible for the following duties:

1. Oversees records centre operations:

- Oversees operations of the records repositories.
- Oversees space management and space allocation.
- Responsible for processing of accessions.
- Responsible for updating of accession and space management databases.
- Responds to emergency disasters.
- Monitors environmental quality controls and coordinates the resolution of problems.

2. Oversees records transfer and accessioning operations:

- Facilitates the transfer of scheduled records to RMU.
- Ensures accuracy of transfer documentation and accuracy of records to be transferred.
- Provides advice and assistance to transferring offices throughout the transfer process.

3. Performs reference operations and acts as focal point for requests for access to records:

- Acts as RMU focal point for requests for access to transferred records.
- Facilitates physical access, according to approved mechanisms, to transferred records.

4. Oversees records disposals that have met their retention:

- Liaises with relevant Secretariat staff and paper recycling companies to facilitate disposal for physical records.
- Prepares records for physical destruction.
- Oversees the physical destruction of records that have met their retention.
- Updates the RMU accession database.

5. Oversees the acquisition and management of archival boxes:

- Responsible for the acquisition of archival boxes due to the decentralization of procurement at UNOG.
- Responsible for the dissemination and stock management of archival boxes.

6. General:

- Guides and supervises more junior General Services staff.
- Oversees and undertakes tasks related to print, bookbindery and production of print communications materials for the Library, Archives and substantive departments of the Secretariat, including the preparation of gifts for VIP visitors to UNOG.
- Provides administrative support for section and unit chiefs and undertakes other duties as assigned.
