Description


The Bank for International Settlements (BIS) is recruiting a Records and Archives Expert to manage the Bank’s physical archives and digital records at our headquarters in Basel, Switzerland. This role requires the conceptual development, implementation and maintenance of an efficient and secure electronic archiving environment, including long-term preservation and disposal, within the framework of the Bank’s existing information management systems. You will ensure that the Bank’s historically valuable documents and current records are preserved and organised to the highest standards possible.


We look forward to meeting candidates with a degree in records management or archiving, information management or an equivalent professional qualification. You will have at least five years of relevant experience, including in managing archives repositories, with a proven track record working with born-digital or digitised materials. You will also have experience in project management, business process analysis and specifically in using electronic records management and archiving systems. Experience working with external researchers is desirable. Proficiency in English is required; knowledge of German and/or French is a plus.


All new staff members are recruited on a fixed-term basis without expectation either of any contract renewal or conversion. The contract may be extended or converted to an open-ended one at the end of the term, subject to organisational needs and individual performance. Document Management Specialist

Job description



Major purpose

The successful candidate will contribute to EIOPA’s activities in the fields of document management, records management, and archiving. He/she will carry out needs assessments, contribute to the development of policies, maintain the file plan, support document management system projects, and ensure regulatory compliance.

Main responsibilities

 Conducting needs assessments to identify document management, records management and archiving requirements;

 Contributing to the development, maintenance and improvement of document management, records management and archiving policies, procedures and working instructions in close co-operation with other teams to facilitate the efficient, legal, and
secure handling of information, as well as ensuring their correct application;

 Developing, maintaining and updating the file plan, taxonomy, workflows and corporate document templates in close collaboration with business users;

 Supporting the requirements specification, implementation, testing, roll-out and configuration of electronic document processing, retrieval, and distribution systems in collaboration with information technology experts;

 Administrating access rights and revision control to ensure security of the systems and integrity of documents, and providing training and assistance to end users;

 Assisting in procuring, organising and maintaining the appropriate systems and in-house facilities to serve as archives;

 Monitoring regulatory activity to maintain compliance with the relevant document and records management rules and regulations, and keeping abreast of developments in document management technologies and techniques;

 Any other tasks as required.

Eligibility Criteria

 Thorough knowledge of one of the languages of the Communities and a satisfactory knowledge of another language of the Communities;

 Be a national of a Member State of the European Union, Norway, Iceland or Liechtenstein;

Essential Skills

 Qualification:

 Working knowledge of MS Office, in particular Word, Excel and PowerPoint.

Desirable Skills

 Professional work experience in a multicultural environment.

 Knowledge of the European Union Institution’s rules and regulations on document management, records management or archiving;

This position is located in the Division of Environmental Law and Conventions (DELC), at UNEP's Headquarters in Nairobi, Kenya. DELC is the lead Division charged with carrying out the functions of UNEP in the field of environmental law, governance and related policy issues, including those related to multilateral environmental agreements (MEAs). The post is located in Nairobi duty station. Under the overall supervision of the Director and Deputy Director and day-to-day guidance and supervision of the Head of the Programme Delivery and Management Unit of the Division, the incumbent is responsible for managing the Division's Knowledge Management and Communication priorities.
Responsibilities
Within delegated authority the incumbent will perform the following duties:- 1. Direct the further development and operation of knowledge management systems at the Division to generate, collect, maintain and disseminate information on environmental law and governance, including MEAs. 2. Take lead in strategy, planning, development and implementation of large, complex communications campaigns in the field of environmental law and governance; develop ways to implement campaigns system-wide and to incorporate the campaign message and themes into all relevant events and products. 3. Develop project proposals and identify sources and seek funding and other assistance for major campaigns. 4. Contribute to the formulation of overall policies, procedures, objectives and guidelines affecting the development and maintenance of the Division's non-current records and archives and delivery of reference services, archival description and systems management. 5. Coordinate preparation of material for newsletters, periodicals, reports and books and edit drafts. 7. Take the lead in compiling information from various knowledge repositories and web resources 8. Build partnerships and information networks; plan and oversee maintenance of publicly accessible information materials on UNEP; plan and develop outreach activities. 9. Manage publications programme; produce materials for print/electronic/voice/visual media. 10. Job Purpose:

To collect, organize, maintain and preserve archival records of ADB, provide reference and research services, administer the digital conversion of archival records, and support proactive disclosure in accordance with ADB policies.

Expected Outcomes

• Provides information and facilities to authorized archival records users through the preparation of indexes, guides, and other finding aids.
• Manages the reference services by conducting preliminary research, identifying relevant archival records and verifying staff's authority to have access to archival records or confidential materials to ensure security and integrity of archival records, and in compliance with the public communications policy of ADB. 
• Promotes awareness on the importance of protecting and preserving archival materials and supports activities related to exhibits, external events and other activities requiring the distribution or display of archival materials. Maintains and develops the ADB Archives Gallery.
Administrative Support
• Backs up other records staff in their absence.
• Maintains statistics on archival holdings and activity indicators on the use of archives collection.
• Participates in the evaluation of archives staff performance.
• Maintains records transfers, and plans the yearly work program.

Educational Requirements:

While the ECCC is established as a national Court, the Royal Government of Cambodia sought the technical assistance of the United Nations in operating the court. In Resolution A/57/228 and A/57/228B, the General Assembly approved the involvement of the United Nations and endorsed the agreement outlining the arrangements between the two parties. Languages The official working languages of the Extraordinary Chambers are Khmer, English and French. For this position, fluency in English (both oral and written) is required; knowledge of French and/or Khmer is desirable. Assessment Method Qualified short-listed candidates may be requested, as part of the evaluation process for this position, to undergo an assessment exercise which may be followed by an invitation to a competency-based interview. Special Notice Appointment against this position is limited to the United Nations Assistance to the Khmer Rouge Trials (UNAKRT). The initial appointment will be for a period of one year; an extension is subject to the extension of the mandate of UNAKRT and/or the availability of funding.
